Many companies struggle with having a lot of obsolete account and contact data in SAP CRM. For sales representatives but also for other users of CRM that deal with prospects and customers it is often a pain when either finding too many almost identical data records, or finding data that is just obsolete. This costs time - and money.

You can now use a nice feature that can help you to decrease the number of obsolete contact data records in SAP CRM: As a user you can decide for setting the status "To be archived" for a contact when deleting the last contact relationship of this contact to an account. This is available in the "Contacts" assignment block of the "Account" overview page, for corporate accounts, individual accounts and groups.

This feature has the very important advantage that you give the control of such data to the people that have the knowledge: The users that know a contact, know exactly if this contact is not relevant anymore. They are the right persons to decide if the status “To be archived” should be set. As an example think about a person that died in the meantime. How embarrassing to have such a person still stored as a contact in SAP CRM.
