This document will enable beginners to create a phrase in phrase management. Check the document attached for details.

Phrase Management

What is a Phrase:

Standardized text that can be used as follows:

  • In value assignment of specifications
  • As a text module in reports
  • As a dangerous goods text

You can translate phrases into all languages defined in Customizing for Product Safety.

Each phrase belongs to exactly one phrase group.

A collection of phrases enlists one Phrase group

Collection of phrase groups forms one phrase library

A phrase library defines phrase assignment and origin

We can group phrases from the active phrase library that are to be used as value assignments for characteristics and fields in the SAP EH&S components (such as Dangerous Goods Management and Waste Management).

Let us find out of how phrases can be created in Specification management workbench.

To do this let us first goto Specification workbench and choose any Substance, Say ACETON.

The default property tree assigned to this substance is Material Safety data sheet which contains a list of nodes like Composition, Possible hazards, first aid measures… as below.

Each node has a set of classes and each class has values assigned on the right hand side shown under “value assignment”.

Here each node like First aid measures is called a node without classes, Sub nodes like Infection hazards, First aid: skin, first aid: eye.. so on  which are termed as “Classes” and values assigned on the right hand side under Advice are called as characteristics.


The idea behind giving these details is to identify the technical path of how phrases can be brought in these fields.

Now, as stated before, all phrases area assigned to a phrase set. To insert a phrase into a phrase set, we must identify first, where the phrase must be brought. In our example above shown under Value assignment, place the cursor on one of the values of Advice field and press F4 to find the phrase set.

You can locate the phrase set at the top of the pop window denoted as Phrase Selection from: Advice(SAP_EHS_1015_003_ADVICE)

Select the subnode First aid: eye and press F1 to identify the phrase set as shown below

The value asst type: SAP_EHS_1015_003 is the phrase set.

We have the phrase text test 001 being listed in this phrase set.

Let us create a new phrase as: test 002. To do this, goto transaction CG12

Step 1: Goto transaction CG12 or follow path under SAP Easy Menu

Logistics – Environment, Health and Safety – Basic data and Tools – Phrases – Edit Phrases


We find that the default Phrase library is set to CUST. We can change the phrase library as per requirement.

On the Above screen , we find a pop up with title “Phrase Group” which lists 79 entries. We may select any phrase group. Select the language EN

,Choose 04.00 FIRST AID MEASURES and enter a test message as “test 002”.




Once you Save it, you shall find the Phrase set icon listed near the Item tab with all the administration data filled up automatically as shown below.

Now click on the Phrase set icon

You will find the Edit Phrase: Phrase set Assignment screen

From the drop down, select the phrase set we identified earlier which is SAP_EHS_1015_003_ADVICE and save it.

Now, we shall find out whether the phrase we created is listed in the field Advice of the specification workbench.

Before we proceed further to check, we need to update all the fields of phrase management which is done by using transaction CGCZ as we made changes in the system by creating a phrase.

Goto transaction CGCZ, select all the parameters and execute it.

Goto transaction CG02BD and select the substance ACETON and select the node 04.00 First Aid measures – First aid: eye

We find now that the phrase has been created as TEST 002.
