Purpose of the document:


The purpose of this document is to make the beginner of Crystal Report Enterprise 4.0 comfortable.

Introduction


In this Part we will understand that how to create Crystal Report on a simple SAP BEx (Business Explorer) Query in Crystal Report Enterprise 4.0.


The prerequisite to refer this document is that the user should be aware of SAP BEx (Business Explorer).

This document helps to a new user that how to start work with Crystal Report Enterprise 4.0


Prerequisites for the Creation of Crystal Report:

To create a Crystal Report on a BEx Query, below are the steps that a user should follow to start work on Crystal Report Enterprise 4.0.


We have to create one Crystal Report in CRE (Crystal Report Enterprises 4.0) on a Query (Below Screen shot):

So to start preparation of CRE you require an IDT (Information Design Tool) connection. That you can create by following the below steps:

Steps to Create a Connection through IDT (Information Design Tool):

Login to IDT then follow the below screen shots                                                                                                                                 .

Then apply the required details to create the IDT connection.

Here enter System Name (Deveoplment/Quality/Production),User Id and password of that system. In Authentication you need to select the authentication type that you wants to give for creation.

After filling all the details click on "OK".

Then Right Click on the “Connection” Folder and choose the option Insert OLAP Connection.

Description for IDT Connection:


Then give the description for IDT connection and follow the below steps using screenshots.

Then click on "Next".

Here choose the authentication mode as SSO (Single Sign On) sothat any one else can also check later that this IDT connection is working fine or not.

If you slect "User Name and Password" option then it will ask for these details to check the IDT connection in future.

Then click on NEXT tab then you will get OLAP Middle ware Driver selection screen.

Parameter for SAP Net Weaver:


Here you have to select SAP NetWaever BI 7.0.

Then click on "NEXT" and you will get the below screen.

Cube Selection for OLAP connection:

Here you can get your intended query if you know the folder path of this query.

Manually Selection of Query:


Otherwise the best option is that manually search it as it is shown in the below screen and click on the Binocular Icon.

Then select that query and then click on Finish.


Then on the left side you will find your connection.

         

Creation of Crystal Report in Crystal Report Enterprise 4.0:


Now Login to Crystal Report Enterprise 4.0, then click on the File Tab and select New Report TAB

Here select your connection and click on Next.

Then drag the required field from Universe window to Result Object for Query window and click on Finish.

When you click on “OK” Tab then you will get a prompt that like a variable selection screen that you will get when you run a BEx Query.

Then you can enter the selection and you will get the below screen as output.

Here you will not get all the fields that you dragged in Result Objects for Query Screen.

So you have to manually drag the fields from the Left Screen i.e. Result Objects (refer the circled portion in the screenshot) into the Body Section of the Crystal Report.

You can also do this kind of Backend activity and required formatting using the Structure tab that you will get at the Left side of the report (refer the circled portion in the  screenshot).

To adjust the place of the fields in the Structure you can use the Smart Guidelines (refer the circled portion in the screenshot just above the Inc(dec) Plan field).

You can get the Smart Guidelines either by default or you can get it manually by clicking on the Edit Tab then choose the Report Options.

Then you have to check the option “Show Smart Guidelines

Now after clicking on the OK Tab you will get the Smart Guidelines those are nothing but the rulers that you can use to adjust the fields for formatting purpose.

Now click on the Page Tab. Then the data gets retrieved and you will see the data into your Crystal Report.

Then after that you can Format the result and convert it to the desired output Format.

As we are preparing Crystal Reports on a Query,so it will look like the above screenshot.

Here to get the Overall Result values (in Yellow Strip) we have to write a formula for each column then only we will get the Overall Result values.

As below Screen shot shows the formula to get the “Total Current Month Actual” values in Overall Result Row.

This formula is written on the basis of Delegated Values those were appearing on the Report Footer.

Then we can select this formula as a data source for the intended column and then we get the result on the “Overall Result” Row.

After that hide the Report Footer so that you can see the values of “Total Amount” of that column into the “Overall Result”, otherwise you will get the “Total Amount” into the Report Footer section also that does not make sense.

Now your final Crystal Report will Looks like the below screenshot in .PDF format and it is ready to be Publish.
