This document has been created for the benefit of entry level SD consultants with a detailed step-by-step elucidation being provided for the extraction of condition record values to spreadsheet.

Typically in a Sales scenario, the condition types that flow into a Sales order could be saved by maintaining appropriate condition records. These condition records are created using the transaction VK11. Every condition record created would be with reference to the key combinations available.

An example of a condition record created is given as reference below:

For displaying condition records, transaction VK13 is used. The key combination used is “Material with release status”

Once the desired key combination is checked, the input screen for the condition record needs to be selected as per business requirements. In our case, we have chosen only the Sales organization and the distribution channel

The output obtained is given below:

Here we notice that the condition record values could only be printed on the paper or on to the screen

We would not be able to download the same into an excel file using the transaction VK13.

Moreover, we also observe that even if we try using the condition info tab on VK13, we would not be able to download the values on to an excel file. We would only be able to download the material and the customer number and this would not suffice our requirement as the price/amount would not be available on the spreadsheet.

Solution:

Thus, in order to download the condition records created using VK11/VK12 into an excel, use the transaction V/LD. Using V/LD, the data entered could be extracted into an excel file with appropriate values.

V/LD is basically a pricing report where-in we would have to choose the appropriate report to be executed as per our business need. Moreover, we could also create pricing reports as per our business requirement and the same could be accessed using the V/LD report.

As per our requirement above, we have chosen the report 15 which is basically the Material Price.

The selection screen of this report is shown below for reference. As we have chosen the Condition type as PR00 for creating our condition record above, we have used the same in our report.

The output obtained when the report is executed is shown below (only the first page on the output is selected for reference)

Now in order to download the same into an XLS file, please follow the below path on the output screen obtained above.

Chose the file option and you would be prompted with a pop up. Chose spreadsheet as shown below and click on the green tick mark.

You would be prompted to save the above records in a directory of your choice in an XLS format as shown

Click on the generate button as shown and the file would be available as required in XLS format.
