Uploading Conflict Mineral Declarations

 

How can I upload my own conflict mineral declaration?

You may upload your declarations by going to the “Work with Customers” tab. There will be an upload button where you can upload an .xslx file no larger than 2MB.

 

Do I have to upload declarations one by one? / Can I upload more than one GeSI Sheet?

No. As a supplier you may only upload one file. Uploading a different file or the same file once again will only overwrite the existing data. Since all the data linked to your account should be within your declaration file, having only one declaration is ample. If you are otherwise collecting declarations from your suppliers, you may upload all the .xlsx files by saving them in a .zip file.

 

Does my declaration have to be saved under a specific file name?

No. The declarations are not name-sensitive. However, we would recommend the title to communicate the date and your company name. For example, your declaration can be saved under 020140513_CompanyName_GeSI.xlsx. However, it is likely the case that your customers will provide you with a specific file format.

 

Can I control the privacy settings for my declarations?

Yes. You may either restrict this to your customers (you must be connected within the PSN as a customer and supplier) or you may restrict this to a certain number of companies that you want to publish your declarations to.

 

Reviewing your Upload

 

What does “The EICC / GeSI sheet upload finished with errors” mean?

When you upload your declarations with missing or inconsistent information, the system will alert you that the document has finished with errors. You will be provided with extra details regarding your errors within the pop-up window. For example, declaring “yes” to having smelters for gold and not having any declared smelters will cause an error on the system, or uploading a different .xslx file that is not based from the CFSI template will cause an error.

 

What do the different statuses of the conflict minerals declarations mean?

Conflict-free – When there are no conflict minerals present in your declarations or when all smelters are CFSI Compliant.

Unknown – When the origin of the minerals in your declaration is unknown

Critical Statement – When the declarations are incomplete or when smelters on the declaration are not known to be CFSI Compliant

 

How can I get information on the status of the different minerals included in my declaration?

Clicking on the uploaded declarations will open a pop-up window that summarizes all important information. This will inform you about the status of each smelter and of each conflict mineral included, as well as the detailed information about any inconsistencies or errors.

 

What does “company level” mean?

On the GeSI sheet itself you can choose the scope of your declaration. Although you can upload declarations for specific products or for different departments to the network, they will always be treated as declarations on the company level and the system will inform you about this via a note in the declaration. It is therefore recommended that you to choose company level.


How can I change the information on my existing declaration?

Simply re-upload your file and the changes will overwrite the older data. You may change this by editing the information on your GeSI sheet template or file.

 

Suppliers Status Report

 

Why aren’t all conflict mineral declarations in my “work with suppliers” work center included in my supplier status report?

A supplier status report provides an analysis of all of your suppliers' conflict minerals declarations with the status “Correct” or “Correct (with notes)” that were completed within the same year. Incorrectly answered conflict mineral declarations or declarations from another year are not included. -
