Solution Manager 7.1 SP10+ comes with PPM component already built in. We can use Project Management functions with SolMan without any additional cost. Portfolio Management will require additional license cost.

You can enrich your SAP Solution Manager projects with the project management capabilities of SAP Portfolio and Project Management, including detailed planning and structuring of your project, and resource management, and you can hand over your plans to realization, using the integrated SAP Portfolio and Project Management and Change Request Management. Time and status feedback allow you to monitor the progress and resource consumption of your project.

The project management functions in SAP Portfolio and Project Management manage, for example, project time, resources and status. SAP Solution Manager projects are linked to the SAP Portfolio and Project Management projects for technical operations. Requests for change in Change Request Management are also integrated with tasks in SAP Portfolio and Project Management projects.

You can use the project management capabilities in SAP Portfolio and Project Management projects to manage SAP Solution Manager projects. When assigned, the SAP Portfolio and Project Management project is the leading project management tool, and replaces some SAP Solution Manager project management functions. Data entered in an SAP Portfolio and Project Management project is mapped and transferred to an SAP Solution Manager project, and the SAP Solution Manager project administration data entry capabilities are disabled, to guarantee data consistency.

Limitations:

• You cannot assign more than one SAP Solution Manager project to an SAP Portfolio and Project Management project.

• You cannot assign more than one SAP Portfolio and Project Management task to a request for change.
• No migration of objects from the existing integration of Change Request Management and cProjects.
• You can assign only one SAP Solution Manager project to one SAP Portfolio and Project Management
• project. When you transport SAP Solution Manager project, the SAP Portfolio and Project Management project assignment is not transported.
• Not every SAP Portfolio and Project Management project type can be assigned to every SAP Solution Manager project type. The possible assignment combinations of project types are defined in the customizing.
• SAP PPM project that is assigned to an SAP Solution Manager Project cannot be archived.

Activate Change Documents:

You can activate the change document function for the following objects in Project Management:

You can activate the change recording function in Customizing for SPRO -> SAP PPM -> Project Management -> Basic Settings -> Activate Change Documents .

Select the checkbox  for all objects for which you want to write change documents. If the function is active, changes to dependent objects are also recorded. For example, if you select the checkbox  for the object category project the system records all changes to the project itself as well as phases, checklists, checklist items, the approval, and so on.

The system does not record changes to the following objects:

• Long texts
• Comments or notes
• Documents

Define Project Types

SPRO -> SAP PPM -> Project Management -> Structure -> Define Project Types

Define the project types you want to use in your project and make settings specific to these project types. If you create project types, you have to give the project management users who will use these project types authorization for them. All users have authorization for the project types supplied by SAP.

Define Phase Types

SPRO -> SAP PPM -> Project Management -> Structure -> Define Phase Types

Define phase types for your projects and make the required settings for the approval. Decide whether an approval is necessary for this phase type and make the settings for controlling the approval.

Define Task Types

SPRO -> SAP PPM -> Project Management -> Structure -> Define Task Types

Define task types for your projects. If you select the Compl. checkbox, you can complete your task even if it contains subtasks that have been canceled. If you select the Editable checkbox, you can edit subtasks as well if the task is opened in change mode.

Above mentioned steps are just minimum requirement to work Project Management of PPM in SolMan for the purpose of Resource Management and Change Management

Integration of PPM with ChaRM

Following entry has to be maintained in DNO_CUST04.

Same Partner function should be maintained in Partner Determination Procedure for ChaRM.

PPM and SolMan Project Type Mapping

• SolMan Project and PPM project type mapping should be done in this step.
• SAP Solution Manager project types onto Project Management project types. This information determines the SAP Solution Manager projects you can assign to a Project Management project. You cannot assign an SAP Solution Manager project to a Project Management project whose type is not in this mapping.
• Goto SPRO -> Solution Manager -> Capabilities -> Change Control Management -> Integration of SolMan Project with PPM project and ChaRM -> Define Project Type Mapping

PPM and SolMan Project Status Mapping

• Goto SPRO -> Solution Manager -> Capabilities -> Change Control Management -> Integration of SolMan Project with PPM project and ChaRM -> Define Project Status Mapping
• Mapping of SAP Solution Manager project status values onto Project Management project status values. This information is used to synchronize Project Management project status values to an SAP Solution Manager project.
• The mapping can depend on the SAP Solution Manager project type or be independent of it. Maintain the project type if you use different status values in the project type templates; leave it empty if you use the same status values for some or all project types.
• If you do not maintain the mapping for a Project Management status value, or the SAP Solution Manager status value is not valid for an SAP Solution Manager project, the status of the SAP Solution Manager project remains unchanged.

Map Task Types of PPM to Transaction Types of ChaRM

• Goto SPRO -> Solution Manager -> Capabilities -> Change Control Management -> Integration of SolMan Project with PPM project and ChaRM -> Define Project Status Mapping
• Mapping of SAP Solution Manager transaction types onto Project Management task types. You can only assign transaction types that are used in Change Request Management for requests for change.
• Choose which Project Management task types are mapped to which SAP Solution Manager transaction types. Then, for each mapping, maintain the task and transaction type, the creation and assignment mode, and the indicator to restrict time recording. If the indicator is set, only resources that are assigned to the transaction with partner function PPM Resource (SMCD0005) are allowed to record time.
• In the customizing activity Map Transaction Types onto Task Types , you specify for each task and SAP Solution Manager transaction type whether:
  • the request for change is created and synchronized automatically, when the task status is set to “Released”, or
  • the request for change is created and synchronized manually, by a button, after the task status is set to “Released”.

Map PPM Task Status with Request for Change Status

• Mapping of SAP Solution Manager status values of requests for change onto Project Management task status values. This updates the status of the Project Management task, depending on the status of the request for change.
• Choose a request for change transaction type and a status profile for the user status of SAP Solution Manager status values, and a user status. Assign the Project Management task status value.

Work with PPM for Resource Management and ChaRM

SolMan Project can be created from SOLAR_PROJECT_ADMIN

Create PPM Project either using Roadmap (RMMAIN)

Or access PPM tool through NWBC. Your ID should have PFCG role assigned - SAP_BPR_PPM (SAP Portfolio and Project Management PFCG role for NW BC)

Once the PPM project is created, you can assign/create SolMan Project for this project.

• Notes and Documents can be uploaded with the PPM Project.
• SolMan project can be assigned based on their Project Type mappings only.
• If the PPM Project status is Released, assignment of the SolMan project cannot be reverted.

Integration between PPM project and ChaRM occurs through PPM Task.

• Create a Task under PPM project or Phase.
• You can create an SAP Solution Manager transaction of type request for change, from a task in an SAP Portfolio and Project Management (PPM) project, so you
• can manage new requests for change in an SAP Portfolio and Project Management project. You can also assign an existing request for change to a task.
• The task types of an SAP Portfolio and Project Management project are mapped to an SAP Solution Manager transaction type (for example SMCR) in the corresponding IMG Customizing activity Map Transaction Types onto Task Types . This allows you to map your own request for change transaction types.
• One SAP Portfolio and Project Management task type can be mapped with one SAP Solution Manager transaction type.
• The request for change is created when the project and the task are released. Request for Change information will be available in Transaction tab of the PPM Task.

Create Transaction in PPM Task from SolMan ChaRM

• This function is only available for maintenance projects.
• You can create an SAP Portfolio and Project Management (PPM) project task out of a request for change in Change Request Management, for example if the request for change was created as a result of an incident. The request for change must be connected to an SAP Solution Manager project which is assigned to an SAP Portfolio and Project Management project.
• If you have an open request for change, you can also create a new request for change in the Change Request Management. Click on Create Request for Change in the navigation area on the left-hand side.
• You can also start with transaction crm_ui or solar01. Fill all mandatory fields. You can enter the SAP Solution Manager project in the Details Assignment block below the Change Planning section. Select a maintenance project that is connected to an SAP Portfolio and Project Management project, and select the action Create PPM task . Save your data. A new task is created with a request for change connected.
• The new task appears in the Details Assignment block of the request for change, the request for change-related information is displayed on the transaction tab of the task. The status of the new task is Released .

The Task duration Dates you enter in PPM project, will reflect in related SolMan Project and in ChaRM Tasks.

  PPM Task details will appear on the ChaRM RFC Project planning section.

Time Recording from ChaRM Request for Change to PPM Task

• You can record the time you spent on a request for change and/or on a change document. It is also transferred to the assigned SAP Portfolio and Project Management (PPM) project task you are working for.
• You specify how to record the time for each task type, in the Customizing activity Map Transaction Types onto Task Types . You have the options:
  • - Time is only recorded for resources staffed on an SAP Portfolio and Project Management project task and synchronized to the assignment block Parties involved
  • - Time is recorded for all resources
• Synchronization with the SAP Portfolio and Project Management project is asynchronous, in the report DPR_CATS_CPR_TRANSF (Transfer of CATS Itemizations to Project Management Application), for example in a batch job. The SAP Portfolio and Project Management project has to be closed, as the report can only synchronize the data when the SAP Portfolio and Project Management project is not locked. The report collects all time recording entries from requests for change connected to tasks.
• The entries in the request for change are entered at task level on the Dates and Work tab, in the field Confirmed Work.
• Time Recording from a request for change to a SAP Portfolio and Project Management project task also works for the follow-up documents of the request for change(the change documents that are connected to a request for change).

Resource Management

• Load Project team members roles and their project related demand in hours.
• Assign the Business Partner for the Project Roles in demand. Same Resource/BP can be used to assign PPM Project Tasks.
• You can have resource management details for the Project in PPM screen.

• You can have Gantt Chart for the Project and associated Phases and Tasks.
