The following 3 elements are taken into consideration for the determination of the Party Roles in a sales document such as a Sales Quote:

1. The Involved Parties in the fine tuning activity Sales Quotes (in the example of a Sales Quotes) in your Business Configuration.

2. The Organizational Work Distribution rules in the Organizational Management.

3. The Employee Work Distribution rules in the Organizational Management.

To determine the Parties in a Sales Quote you need to consider the determination rules in the fine tuning activity Sales Quotes in the settings for Maintain Involved Parties for the following Parties:

A) Seller

B) Sales Unit

C) Owner/Employee Responsible (See also document Party Determination (Employee Responsible/Owner) in Sales Documents http://scn.sap.com/docs/DOC-69214)

You can check the rules for each party role by selecting the party role and then clicking on the Maintain Determination button.

A) Select the Seller party role and click on the on the Maintain Determination button.

Here you see that there is one method for the determination of the Seller.

Step 10 -> Company of Sales Unit

The system will check the determination of the party role Sales Unit

B) Select the Sales Unit party role and click on the on the Maintain Determination button.

Here you see that there are 4 methods for the determination of the Sales Unit.

Step 1 -> Responsibility “Sales Unit for Sales"

The system will check the Organizational Work Distribution Rules for the work category Sales Unit.

If your rule for the determination of the Sales Unit depends on the seller (Company).

The Seller and Sales Unit cannot be determined.

If this is the case or you don’t have a rule defined the system will go to the next step.

Step 5 -> Account's Sales Data

The system will check if a Sales Organization with a Sales Unit has been maintained in the Master Data of your Customer under the Sales Data tab.

Step 20 -> Functional Organizational Unit of Employee Responsible

If an Owner/Employee Responsible (see section C) for the determination of the Owner/Employee

Responsible) could be determined according to the rules set up for the party role Owner/Employee Responsible, the system will check to which Organizational Unit this employee is assigned to and if this Organizational Unit is a Sales Organization and Sales Unit (this is done in Organizational Management under the Functions tab with the options Sales Organization and Sales). If the Owner/Employee Responsible could not be determined or the Employee Responsible is not assigned to an Org Unit which is active for Sales Organization and Sales Unit then the system cannot determine the Sales Unit and will move on to the next step.

Step 30 -> Organizational Unit from Org Model if only One Suitable Functional Unit exits the system will check if there is only one valid Organizational Unit which has the Functions Sales/Sales Organization active. If there is only one, the system can determine it. If there are more than one, the system cannot determine it.

If the System cannot determine this, the error message "party with role sales unit missing" occurs.

C) Select the Owner/Employee Responsible party role and click on the on the Maintain Determination button.

For details on the Party Role determination of the Owner/Employee Responsible party please find the document: Party Determination (Employee Responsible/Owner) in Sales Documents (http://scn.sap.com/docs/DOC-69214))

If all these settings are set up correctly the system can automatically determine the Party Roles Seller, Owner/Employee Responsible, Sales Unit and Sales Organization when you enter an Account in a Sales Quote.
