Bin location functionality is designed to be able to be switched on at any time in SAP Business One – without causing any downtime.

On activating bin location functionality for a specific warehouse all items are automatically placed into a special System Bin Location which is also set to be the global Default Bin Location.

This means that by default, on bin location activation for a warehouse, from that point forward all warehouse transactions will, without any user intervention, automatically enter and exit from the System Bin Location.

At this point in time, from a user’s point of view, although there will be new bin location related fields and menu items, all processing automatically operates behind the scenes and the user does not yet need to change any working practices to start allocating bin locations.

However, from a system administrator’s point of view, once the bin location functionality is activated and automatically functioning behind the scenes, it is a simple matter to set up the warehouse bin location structure.  The new bin location structure will only become live when either:

  1. Items are transferred to the new bin locations from the System Bin Location, and/or
  2. Default or Receiving bin locations are set such that items automatically default to be received in bin locations other than the System Bin Location.

If preferred, it is possible to even go live with different subsets of stored items (which may be in a specific warehouse area) over a period of time, easing the go-live process without requiring a big bang effect.
