(Last year it has been release on 21/12/2010). As per the Developer information this is planned to be delivered around the same date.

The Note (in version 1) actually references applying the correction instructions first, and then the SYST and CUST transports. In fact, this is what we had already done in our DEV system before your update to this thread appeared, and we did not encounter an error during SNOTE or import. Is there a new version of the Note in work that changes the order of actions to match your instructions?

Regarding the corrections for Year End 2011 Phase II for U.S. Tax Reporter - - Note 1645396.......
We are making all the manual code corrections given in this Phase II note, and found that a part of the code required to be changed in 1645396 is supplied by a different note (1643967) regarding On-line W-2s. Currently, we do not do On-line W-2s, so we skipped this note - - but now to make program RPCTRPU0 compile, it needs this code from note 1643967 which we did not intend to apply at this time.
Therefore, we were just going to add this piece of code to make program RPCTRPU0 compile clean and NOT apply the on-line W-2 Wave 2 note 1643967.
Can you see a problem with this if we do nothing with On-line W-2s? This will not affect submitting W-2 magnetic media? In which SP or CLC will these manual pgm changes from these On-line W-2 correction be applied?
Any input will be appreciated.

There is no issue if you don´t use online W-2. You can apply the note, this will not affect the normal processing of the W-2 while running it in PU19.

If you are experience dumps after applying the Year End Phase II, please follow the steps:
1) Check the correction instructions from the note
2) Check if the SYST file is applied
3) Check if the CUST file is applied and cascade to the non zero clients
4) Activate everything
In case these steps have been followed but the error is still happening:
1) Check main form HR_F_W2 in V_T51T8 for field PAPS with form processing indicator checked
2) Check in SFP PDF form HR_F_W2_MULT_11 if this field exists in the context
3) If not, check in structure P10_SHR_F_W2 if the field exists (SE11)
4) If it doesnu2019t exist in the structure, it means the user probably doesnu2019t have the needed authorization to change and activate objects in the system. To create the field in structure, you can uncheck and check again the field form processing indicator, the user needs to have authorization.
5) If it exists, refresh the PDF context in SFP and activate again.

Note 1639029 is a prerequisite for the Year End Phase II note. I mean, the correction instruction from note 1639029 is required, you just don´t need to apply the .SAR file from note 1639029, because the objects changes are already included in Phase II note SAR file.

We had problems applying 1645396 -- we were getting syntax errors on the PDF documents because the PAPS field was not in structure P10_SHR_F_W2. We had to get an access key in order to update P10_SHR_F_W2 with that field. Normally we don't have to do this if we are applying the SAR files from an OSS note because the objects are already activated. We did apply this note in the correct order listed (SNOTE, SYST SAR file, CUST SAR files), and the forms and programs indicated that they were all active.
We had already applied all of the prerequisite OSS notes including 1639029 (via HRSP 75) before trying to apply 1645396. We are not on any enhancement packs.
Are you saying that we have to apply the On-line W2 notes even though we are at release 600?

I believe there is an issue with the SYST transport for ECC 6.0. I will confirm that. Actually, the transport should update
the structure P10_SHR_F_W2 for the tax form field PAPS. But in this case when this is not updated, you will need to uncheck and check the form processing indicator again, to update the structure.
P.S.: You don´t need the only W2 notes, as they are just valid for ECC 6.04.

We recently applied TUBS 46 - - and in regards to the new Tax Type 11 for KY and MO effective 01/01/2011...................
I configured the new tax type for both tax authorities, and when running tests for this change, we are not getting /711 for 2011. We are getting /311, /411 and /611, but no /711.
When we run current employees for 2012 the /711 shows up, but not for current employees in 2011.
I also performed a test where I hired a new semi-monthly employee as of 11/16/11 and gave them a large paid amt - - ran their 1st payroll for period 11/16/11 - 11/30/11 - - and all wage types showed, including /711.
I even went in config and gave KY the same tax model as an already working TT11 tax authority, and that didn't even work - - only the /711 did not show.
This tax type for these tax authorities were not configured before this, so it's not like it would not show up because they reached their limit for TT11.
The /711 is needed for reporting in 2011 and will also be used for FUTA credit reduction by Tax Reporter.
Can anyone give an suggestions? Has anyone else had this issue? Any help would be appreciated.

After applying Note 1656942 and testing, we noticed that the changes to the SAP given Magnetic Media file for Indiana (HR_F_MMREF_1_IN) is NOT MATCHING the file layout requirements given from the state of IN.
When we submitted the SAP form HR_F_MMREF_1_IN created file to IN tax authority website, it came back with errors on every RS record - - the same error for every record
The error pertained to the positioning/length - - and when looking at it, it was regarding the Reporting Period, starting at position 197. The error stated it is suppose to be 11 long and it was only 10.
What I found was...........in the SAP form, the reporting period month and year are two separate fields.....and the reporting month detail / setting for 'First string pos' was set at '004'. I think this setting was making the field not write as it is suppose to be. This is how it was delivered from SAP through this note, I'm assumming.
When I changed that 'First string pos' to blank, and recreated the magnetic media file - - the .txt file looked good and was excepted by the IN tax authority site.

I also found other discrepencies in this same SAP form in the RS record..........
At position 193 - 194 (Country Code), the IN file layout spec supplied by IN tax auth, says that if the emp. is from "One of the 50 States of the U.S.A.", then fill with blanks.........the two letter code 'US' appreared in our file.
At starting positions 195 and 197 in the SAP form for IN, both fields are using field UDATE and is always filling the period MM and YYYY for Unemployment reporting - - although, the other positions before and after do not fill the info for Unemployment reporting......................if there is no Unemployment being reported, should these positions of the file fill?
I don't know if the last two items caused any issues because we changed our file to read blanks and zeros, but I know the first one I stated does.
Could someone tell me if they have found the same issue? Is it indeed an error in the form? If so, is there going to be a fix for this form?

We are trying to apply the changes from 'Note 1673088 - TR: Form UC-5A-S and UC-1-S for SUI Indiana'.......
We extracted the file 'HR_F_UNEMP_IN.zip' and went through the transaction SFP as explained in the Note, but when we do the check and try to activate.....we are getting syntax errors - - such as:
"Form HR_F_UNEMP_IN, Node TOT1"
"Field ALLFIELDS-TOT1 does not exist"
There are multiple 'fields that do not exist' listed in the errors. (such as: DETOT, OETOT, DTOT1, etc....)
We are assumming that there is a prereq to this change that was not done?
Does anyone have an idea of what needs to be done so we do not get these errors and are able to activate this form and complete this task?
Any help would be appreciated.

Anyway, now that we followed the 1673088 instructions - - in order to apply 1668024, we had to override the syntax errors and 'activate anyway' for form HR_F_UNEMP_IN - - - - since the form was locked from being accessed by 1668024.
We then apply 1668024.
Then, when we re-do 1673088 - - - is there any special attention we need to pay to? or can we just go through 1673088 instructions like we never touched it earlier? Did our previous attempt affect anything from us going forward with 1668024 and 1673088?

Actually, note 1673088 has a new version of HR_F_UNEMP_IN that you will upload.
Just to make sure, did you have applied the Phase III note 1656942? Because this note excludes these tax form fields and note 1668024, just updates the form for Indiana.
If you don´t have applied Phase III note you must apply. After this you can apply note 1668024 and go ahead with note
1673088.

This reply is for the person (Carey Vogt) who was receiving an error when posting form HR_F_MMREF_1_IN to Indiana's website.
We too received an error from their website. The error dealt with the RS line as well, but a different error stating "At line 4, position 193: the value u201CUS 1220110u2019 for field u2018FedAdvancedEICu2019 is not a valid currency amount, should be max 11 digits, including cents, no decimal point.u201D
We contacted the State of Indiana because the error message is not valid for 2011 (ie FedAdvancedEIC) and they acknowledge that they were having issues and informed us to try again on 1/19/2012. We tried again yesterday and was able to successfully load the file.

As i previously noted Form 940 now has values as expected in both the Schedule A and the 940 following the instructions in Phase III Note (1656942) version 3 "Ignore Non-permitted Table Class" when applying the customizing file.
However when running the W2 for an employee (HR_F_W2_MULT_11) is resulting in a short dump as follows:

We were getting syntax errors on the PDF documents because the PAPS field was not in structure P10_SHR_F_W2. But we found that SAP updated the Note 1645396 on Dec 9, 2011 with new SYST file ( SYST_600_L7DK186190.zip) for ERP 6.0 and after we applied this file to 000 client, the problem disappeared.
This file SYST_600_L7DK186190.zip has the updated structure for P10_SHR_F_W2.

In the process of testing, I noticed the W-2 C has an alignment issue with the new box (12DD) for health care costs (previously reported-first page), and the employee's Address and Zip code box (looks like there is space for a second address). Hello all, I was following up regaridng the OSS note for the US 1099 MISC form changes for 2011. Any idea of when this note is being issued?
We applied hot pack 76 on 12/07/2011, with included note 1645396. Note 1645396 was updated on 12/09/2011. We are getting the error about "The object "%WORKAREA1" does not have a component called "PAPS". We are trying to get the structure fixed. Is there going to be another note for the correction? SNOTE says the note was in package 76, so it doesn't seem right to correct the existing note after the package has been released.

There is a new SYST sar file in note 1645396 (12/09/11 version). Download and apply that SYST sar file and it will correct your P10_SHR_F_W2 structure by adding the PAPS field.

I raised an OSS note inquiring about the availability of the 2011 Form 940 FUTA tax return and was advised by Jaime that this will be available in the Phase III udpates to the tax reporter via note 1656942. The last year-end newsletter mentioned that delivery date will be after the holidays, which is next week. Is there an estimated delivery date?

We have applied OSS note 1656942 - Year End 2011 Phase III and have an issue with Form 940 missing values in fields 7a/b/c/d and 8. We are expecting results in fields 12/13 and 15 as well and they are blank. "Check configuration" yields a message "Nonexistent evaluation rule for tax form group: Form Name: HR_F_940: Tax Form Group: FUTA". Are we missing manual configuration or is there an additional note required that has not yet been released or has been not yet applied by our Basis team?

I does not appear that this is an actual problem as the Form 940 seems to fill all the fields, however reconciling these fields (are they accurate?) has not yet occured as we have not yet spent the time to do so. The form itself does not contain reference to this group from what I can see and perhaps it is similar to the HR_F_941 COB1 and COB2 which does not impact the 941 and is a result of a previous change and is not utilized in producing the current 941. Perhaps if this is required functionality for "Manual" entries related to the 940 or such perhaps someone could shine a light on its usage.

Note 1668834 was just released for TUB 51.
We implemented Phase III note. The 940 form HR_F_940_SCHA_11 prints with nothing on it. No states have been marked, no FUTA taxable wages are printed and the reduction rates are not printed.

There is a transaction SNOTE which you can use to download the note and apply manual corrections into your system. It is kind of a wizard; just follow the instructions and click through. If you are not familiar with that t-code, I'm sure your Basis guys will be.

After reapplying the Phase III Note (1656942) per the updated instructions, Form 940 now has values as expected in both the Schedule A and the 940 but line 7b (Line 7a FUTA wages paid before 7/1/2011) calculated amount is incorrect. It is dropping the last amount of wages paid before 7/1/2011 underestimating the total FUTA wages paid and therefore reporting an incorrect tax amount in 7C.

I've applied HRSP 76 per SNote1645396 for Phase II Year End in early December. I am getting the ABAP error relating to PAPS when running W2s in Tax Reporter.
I've been advised to reapply SNote 1645396 by applying the CUST & SYST files, but these are no longer available in the Sap Note. I've tried to apply the manual correction to RPCTRCU8, but that results in "Carry out modification comparison for REPS RPCTRCU8 first".
I have yet to apply the Phase III sap note because I'm stuck on this issue. Please advise.

The SYST and CUST transport files for the Phase II Note are still available via the link Advanced Delivery for Phase II, which is under the Year End 2011 link. They aren't attached to the Note itself.

We just ran the quarterly report for Locality Wage Listing - City Level, and Tax Reporter is ignoring the last pay period results for 2011 in Production mode. It runs fine in Simulation mode.

Okay, I used 01/05/2012 and it included the last pay period in our Dev client. Why does it work in Simulation mode with 12/31/11 and not in Production mode?
Also, our payroll dept ran it in Sim; everything looked fine, so they ran it in Prod, printed the reports, and then set the filing date. While they were getting ready to mail the reports, they noticed the results were wrong. Now we have a filing date set. Is it ok to remove that and then have them re-run in Production mode?

We have applied year end notes and Pennsylvania Act 32 notes. Afterwards, we cleared the "evaluation type" as mentioned in note 1645396, because we want the PA Local name to be displayed and not the TCD code for the 2011 W-2. However, when creating the 2011 W-2 Employee Copy, it is still displaying the TCD number instead of the name. Has anyone had this problem, and know how to fix it?
On the 1st page of that note-1645396,- under the "Pennsylvania Act 32" section it gives you the steps to make the TCD code go away. We did this and we have the tax authority name on the W2 again. You might also want to check out note 1671067 for Philadelphis.
Just an FYI for everyone out there - we just applied Note 1674123 and it broke our 940. The 940 is now counting wages paid on 7/1/2011 in line 7b and it should not. For example, employee has FUTA wages in WT/710 of $ 1153.85 with a payment date of 7/1/2011. The amount is showing in line 7b (FUTA wages paid before 7/1/2011), which is incorrect. It should be in line 7d (Line 7a FUTA wages paid after 6/30/2011).
We put it in Production before we discovered this. We're going to try to de-implement the note, and I'm logging a problem ticket with SAP.

Could someone please shed some light on an issue we have not encountered in prior Year End reconciliations? It has to do with Group Term Life and an employee that was on leave of absence that resulted in wage type /BU1. What we do not understand is why this value is being added to W2 box 1, 3 and 5 yet this is not the case for wage type /BT1 which is seen in payrolls when the EE is active. Finance belives this employee's W2 is in error and I have no way at this time to prove it is right as we have always been able to tie out our customer wage types to W2 Boxes 1, 3 and 5. Any info would be greatly appreciated. Thank you.

We've had a similar issue. This is for imputed income for which no taxes have been collected. The employee still owes Federal taxes, SS and medicare but the taxes cannot be collected from the employee until they have income.
If the employee returns in the current tax year and the uncollected taxes are paid, this is cleaned up this does not appear on the W2.
If the employee never comes back or comes back in the next tax year, I think things start over. Instead this is reported on the W2. At this point this is like a claim against the employee for taxes owed. I do not believe any earnings in the following year are used to pay the taxes on /BU1 since that is in the previous tax year. (I'd have to go back and test to prove this since we avoid this situation now).
Suggest you read the IRS rules regarding the reporting requirements for uncollected taxes for imputed income and then decide what your company wants to do for your situation.

Thanks for your reply. However this is now more confusing in that the EE was active in the last 7 payrolls with plenty of wages and all deductions taken and no arrears. I can see the retros picking up the Customer Gross Up Wt and the Customer Imputed Income WT as well as the related taxes. I can see there is no technical WT /BT1 during the retros, only the /BU1. There are no /561 claim WTs in any of his results.
I still need to know should /BU1 be going into W2 Boxes 1, 3 and 5 as /BT1 does not (or should /BT1 be represented there as well?) . Please forgive my lack of experience.

Since I'm not a PY accountant and I don't have sufficient information, it isn't appropriate for me to advise how you should handle the taxes for your situation.
But from the 2012 General instructions for Forms W-2 and W-3 on the IRS website- Group-term life insurance. u2026. For coverage provided to former employees, the former employees must pay the employee part of social security and Medicare taxes on the taxable cost of group-term life insurance over $50,000 on Form 1040. You are not required to collect those taxes. However, you must report the uncollected social security tax with code M and the uncollected Medicare tax with code N in box 12 of Form W-2.
A little more explanation from what I see in our PY history:
The /BU1 itself never goes away. When we get a /BU1, there is a corresponding /NG3 and /NG5 for the uncollected SS and Medicare taxes. If the employee returns, in a subsequent payroll in the current year, and the previously uncollected taxes are collected, the collection is reflected in these wage types as a negative and the net effect is 0. Therefore there are no uncollected taxes and so this is not reported on the W2.
If the net effect of /NG3 and /NG5 over the entire year is not 0 by the end of the year, the uncollected net gets reported on the W2 in box 12 with codes M and N.
We generally u201Cforgiveu201D the taxes owed by the employees in this situation and use manual entries in Tax Reporter gross up their income to reflect the increased income since we paid their taxes and zero out / NG3 and /NG5 (Tax form groups W23M and W23N). Our folks in PY have lots of fun figuring out how much they need to gross us since there is also taxes on the gross up that need to be paid on behalf of the employee.
Hopefully this is more helpful. Just FYI, we are on 4.7. I don't know if/what the differences are between the different releases of SAP in this situation.

Found the answer to my YAWA Question:
Use transaction SM31, table V_512w_d. Change your WT in PRCL 82 and set to value 0 or 1 according to your needs.

We are not able to get the locality name to print on 3 of the 4 W-2s. It appears on Copy C for Employee's records, but not on Copy B or Copy 2 for state or for local. Has anyone else had this problem?

The locality name in Box 20 appeared after applying the Phase III note 1656942 and the Year End Additional Changes for US Tax Reporter, 1668024. Also, our BASIS person asked us to do the following:
1) Go to SM34, view V_T51T8
2) Tax Form HR_F_W2
3) Select "Tax Form Fields", PAPS field
4) Uncheck the "Form Processing Indicator"
5) Save
6) Check "Form Processing Indicator"
7) Save
In our table, the PAPS was not there, so Iu2019m not sure if that had anything to do with the fix. We are now getting the data in Box 20. Hope this helpsu2026..

Thanks for your quick reply. We have applied the SNOTE 1645396 first but couldn't find the field "PAPS" then we went ahead and apllied the Snotes 1656942 and 1668024. Now when we run the tax reporter we are getting dump errors. Can you please help me on this? Do we need to do anything?

Now we are able to see the field "PAPS" in T51T8. I have deleted the evaluation type"k" but even then i don't see the locality names in box 20. I have also tried unchecking the process form indicator and then checking it again even then it didn't work.
When we tried to uncheck the process form indicator it said the following objects are modified and it asked for an access key. Do we need to make changes to those objects? Please advise?
The locality names are not showing even for the ohio locals.

When we run Tax Reporter for Form 940 for 2011, the Supplemental Information is not showing some data. This is not a new issue. We had the same issue when running for 2010.
1. Colorado includes only the experience rate for UI (tax type 10), but not the Unemployment Surcharge Tax (tax types 78 and 82) -- column (e). All 3 tax types are listed in table BTXRATE.
2. Pennsylvania's experience rate is correct, but no contribution amounts are showing in columns (f) and (g)
3. Texas' experience rate is correct, but no contribution amounts are showing in columns (f) and (g)
We are on ECC 6.0, currently up-to-date on Tax Reporter OSS notes in our production environment, have the 940 Form balancing, and are getting ready to apply TUBs 52-57 to our SAP and BSI environments.
Does anyone have an idea why we are missing information for Colorado, Pennsylvania and Texas?
Your thoughts and help would be appreciated.

Yes, the appropriate tax type entries for CO, PA and TX are in V_T5UTI. We have applied note 1668024, both SAR files and logic corrections, to our SAP environments.
For PA and TX, we have an amount in column (c), but columns (f), (g), and (h) are 0.00. Not sure where to go or look next.
The 940 form is balancing, but the Supplemental Information on the form is not showing everything it should. And in our TST environments for SAP and BSI, we have applied TUBs 52-57 -- including the SAR files from the SAP OSS notes, but it has no effect on the 940 Supplemental Information portion.

We are having issues with our 940 processing as well. It appears that line 9 is excluding all of our FUTA wages and I can't figure out how to remove this entry. We do not exclude any FUTA from state unemployment taxes. Can someone point out where I can look to change the output of line 9?

Okay, we finally figured out why we aren't seeing some things on the 940 Supplemental Information form for CO, PA, and TX.
-- Colorado -- we have 3 unemployment tax types (10, 78, 82), but only tax type 10 is being looked at for experience rate percentages on the 940 Supplemental Info. We can live with that.
-- Pennsylvania and Texas -- our experience rate is equal to or higher than the 5.40% experience rate that seems to be the "default" (column F). It looks like when that is the case, no amounts are calculated in columns F and G. We have added Florida to this list for 2012. We can live with this situation also -- it just took us a while to figure it out.
Now we have a different issue -- table T5UTX has the new FUTA tax type 11 percentages for 2012 (we have applied TUBs 52-63 to our SAP and BSI production environments). BUT SAP table T5UX9 is still showing percentages for 2011 when looking at type of information = '05' (940 Credit Reduction Rate).
So here are my questions:
1. Are we responsible for updating table T5UX9 with 2012 percentage changes for the states or is there going to be a Q1 2012 Tax Reporter note to correct this table?
2. Do we remit the FUTA tax type 11 payments to the appropriate states as of Q1 2012 or at the end of the year?

Errors from the tax authority were received stating "The Employee Name on Line '53' can only contain three (3) fields. Example: Last Name + space + First Name + sapce + Middle Initial."
The error occured for any employee who has a Jr included in their name, or a II or III.
Does anyone know of this being an issue with the form? Has anyone else experienced this?

We just tried to file our HR_F_UNEMP_OK_10 electronically and it is omitting the employees name and is being rejected by the OESC. The layout still has the fields, but they are blank when I run the file.

Is it possible to make a manual entry in Tax Reporter to offset an amount on W23C, box 12 C, in order to clear /BT1 that was calculated in error? When we tried to do this, it created a separate entry, and a form would not produce because of the negative amount.
Yes. It is possible. Just enter a positive amount for the associate using W23C as the TxGp by tax company with FED as the tax authority. The W2 should then generate unless there are other negative amounts to be corrected.
Thanks Michael. If I enter a positive amount, it puts another Box 12 C entry in Box 12 (so there are 2 positive entries). When I put a negative entry, it won't produce a form at all. The strange thing is that we can enter negative amounts to offset uncollected social security or medicare (W23M amd W23N) and it works fine. It just won't work for the Box 12C, W23C.

Be sure that the associate is not in multiple tax companies. The offset must be for the tax company in which the wage type was created. We are on release 6.0 and have used this since we were on 4.6C; it has worked fine for us.
Hi All,
We loaded service packs 71 -77 as part of our schedule LCP update. This only included thru 'YearEnd 2011 Phase II'. We are now getting short dump when running W2s in Tax Reporter. The 'check configuration' isnt much help. Ive read that the SYST and CUST files may be bad .. should we try to reapply this note even though it was already part of our service pack? I do not think the PAPS field was loaded, but we do not have employees in PA.
Else, should I apply the 'YearEnd 2011 Phase III' note?
This seems like a mess. Any help is appreciated.

I have discovered that the 2011 W2 mag media for the state of Indiana does not contain all of
the county wages and taxes in the RS record of form HR_F_MMREF_1_IN. An
example of this would be C49 Marion County. The employees that we have
paid in that county have wages and taxes showing on their W2 but do not
have these amounts present in the mag media. Is this a configuration
issue? Has anyone else had this issue?
