Mail Template Tokens

Hi All

This is in rerence to Mail Type "Workflow Approval Request Message "

There are standard tokens present in this mail type, (INSTRUCTION, DESCRIPTION), which are not ponting towards any field.

For Example if we insert %INSTRUCTION,% in mail type , then from where system picks up the value of this token. The same is true for Description as well.

Can somebody tell, are there any fields these tokens are pointing towards?

Hi Saurabh

The tokens are pulled from the XPDL file which are attached to the phase in the workflow , There are two extended attributes which you can define in the XPDL file LocalizedDescription and LocalizedInstructions , where you provide the localized resource IDs which you define in the system which hold the message you want to give.

So the system will always give a fixed set of instructions with every approval notification, Is it possible to add a customized instruction for approvers, with every approval process?

Hi Sourabh ,

LocalizedDescription and LocalizedInstructions are the extended attribute names and they will have localized resources which you define as their values , so therefore you can always give different localized resources according to your need which holds your customized message for different approvals.For eg you can define your resource id as workflow.approver.instructions1 , workflow.approver.instructions2 etc and one more thing the localized resource value to LocalizedDescription and LocalizedInstructions are need to be given in Bundle$ResourceId format . i.e custom$workflow.approver.instructions1 where custom is your bundle name.

Thanks for a quick reply

What we require is to send a different message always

For instance, A group has been added as an approver, so document owner wants to give instruction that who will be approving this document in a group, now for this kind of information we can not use localized resources.
