What are the steps for requirement gathering to develop Web Intelligence Reports?

Hello All,

I am new in SAP BI/BO.

Please describe what are the steps for requirement gathering to develop Web Intelligence Reports?

Once I have all the requirements after that how to develop reports and how to decide frequency for the same?

What are the KPIs?? how to decide KPI/Key figure for a dashboard?

Please provide some guidance.

(1) First you need to understand business process for your organization, for that you need to sit with the business users and who are having requirements fro reports. Also, you need to understand database relations between tables, because before developing any report/dashboard you have to clear about your source data.

Understand the users' requirements, discuss with them.

(2) Discuss the layout of the report. While discussing layout of the report also ask frequency of the report./ suggest as per their requirements.

Generally there are three level of analysis

(I) Operational Analysis

(II) Tactical Analysis

(III) Strategic Analysis

Operational Analysis: These reports are not for analysis point of view, they are only for reporting. In this decision will not have huge impact on organization. E.g. Month Sales MIS, Daily Sales MIS etc.

Tactical Analysis:

Tactical Analytics is longer term and is primarily to assist management in their decisions. E.g. Product Performance Report, in this report users can take their decisions about the products which are not performing well. The frequency of this report is generally monthly.

Strategic Analysis:

Strategic Analytics is about performing some analysis that will assist in decisions affecting the strategic direction of an organization. This type of analysis is almost always bespoke and complex. E.g. Sales Cycle Report from this report users can get idea about how long product reaches to the customers.

So these are type of analysis,

you need to identify users requirements by your own way and develop reports as per above discussed types of analysis.

(3) KPI : Key Performance Indicator

These are the business indicators. For example if you are making sales reports then your KPIs are might be,

target,sales,returns,achievement,growth,contribution etc.

these KPIs are generally provided by the users at the time of requirement gathering. When you design your dashboards at that time you have to decide what are the KPIs you are going to include.

I also suggest to develop web intelligence report and understand users requirements for the same, you have to design strong technical documents which will sort your problems every time when you develop reports.

1. You really need to sit down with business users and understand their requirements for reports and dashboards.

2. You need to understand your database and relations between tables. You need to make sure you have the data for the required reports and dashboards in your data warehouse.

3. If you don't have data then you might need to do some ETL (extract transform load) to your data warehouse.

4. After that, you need to create a universe (if you are not using SAP BW as your data source for reporting)

5. As last step, you create your WebI report or Dashboard on top of your universe.

Step 1 is the most important step. You really need to understand what business wants otherwise all your effort will be useless.

KPI are the Key Performance Indicator which measures the performance of a business and drives it. You need to check with the business users which is the driving factor for their business.

For eg. Sales Team will always be interested in identifying if they have achieved the target and also like to compare their current earnings with previous. So, Revenue is used as KPI to measure the sales performance. This will be the Measure used in WebI report.

Then you need to understand from the business, the Obejcts for which the performnance needs to be measured like Customers, Products etc

Also understand the granularity they need like Yearly, Monthly, Weekly, Daily etc.

All these will form the Dimension in your WebI Report.

So all these details what needs in the report needs to come from the business because eventually they are the audience for the report that you will be creating.

Answering your third question:

KPI- Key Performance Indicators

The KPI which you choose for the dashboard should always show important information about your company.If you know the message your KPIs are showing, you still have to communicate the message to other users of your dashboard. When choosing your KPI charts, it should be reflected in the clearest way possible.

These can be categorised in four different categories:

1. Quantitative KPIs

2. Directional KPIs

3. Actionable KPIs

4. Categorical KPIs

All these should be categorised or taken care while creating the skeleton of your dasboard.
