Hi All,
Release strategy issue:
The client is having four release codes (person in PO release strategy). If one of the release code(person) is not available in the office, he delegates the approval of PO to some other employee. This employee is not as the part of release code.
Example:
Release code
Z1- Deptt Head
Z2- Purchase manager
Z3- DGM
Z4- GM
If Purchase Manager is on leave, he can delegate the responsibility of PO release to Purchase Officer. But Purchase officer is not the part of release code.
How this alternative can be configured if X is not available Y can release PO.
regards
Hi Anita
You have two options (I normally use the second option with a custom program):
1) Use Workflow. Users can define substitutes when they are going on leave in workflow.
2) Define a role for each release code/release group combination. Whenever somebody goes on leave, you need to assign the corresponding release code role to substitute user.
Write a process manual on how you can use these roles for substitutes. Share this with all interested parties. Inform your manager to send a mail to basis person (whoever assigns roles) informing him of the leave dates & substitutes. Basis person can assign the role to the substitute user with leaver period as the validity period.
Another variant of this option is to give custom developed transaction to approvers. In that transaction, they have to enter their release code, leave period, substitute user. On saving, role will be assigned to users (thru program).
Best regards

Hi Anita,
If you have HR module. It is very simple to delegate the responsibility.
In MM there is no config to achieve this requirement. You have to contact to Basis consultant to give the authorization of PO release to Purchase Officer whenever Purchase Manager is on leave.
Hope it will help you.

Hi ,
Instead of delegating to other person , other person in hirarchy also if he has accessing releasing access permission can release POs.
i.e., if Z2 is on leave a person Z3 or Z4 can release PO .
Why don't you talk to this aspect with ur client .
Thanks
Dipak
