ESS - Training & Event Management

Dear Colleagues,


I have been assigned to work on Training & Event Management.

Requirement is that

1) Training Catalogue should appear in ESS for employees

2) Employees to nominate / cancel the nominations through ESS.

3) Two level approval required and an email would be sent.

Please guide me about the configuration for the aforementioned requirements.

You just have to create one BSP application iview for this application HCM_LEARNING in portal and assign it to ESS role.


3) Two level approval required and an email would be sent.

There is standard workflows available.

WS12000003  - Booking Request

WS12000004  - Cancel Request

you can copy this and customize for 2 level approval

You have to link these workflow to event LSO_PARTIC in t-code SWE2

I understand that the configuration mentioned by you would be done by a Portal consultant. Correct me if I am wrong.

Please help me in understanding the role of a SAP HCM consultant.

HCM functional consultant Role - This part, all basic SPRO configurations for Training and Event Management done by SAP HCM functional consultant.
Portal consultant Role - This part will done by Portal consultant
You just have to create one BSP application iview for this application HCM_LEARNING in portal and assign it to ESS role.

Workflow Consultant Role - This part will done by workflow consultant.
There is standard workflows available.
WS12000003  - Booking Request
WS12000004  - Cancel Request
you can copy this and customize for 2 level approval
You have to link these workflow to event LSO_PARTIC in t-code SWE2

Thank you for the clarity.

I understand for the ESS configuration in ECC there are two sections:-

1) Set up Control elements for ESS - Is it standard or any change has to be done?

2) Business Adds -In (BADIs) for ESS - What configuration to be done here?

Please help me with the above mentioned configuration part.

This nodes you can remain standard no need of changing any thing. If it's required any other reasons for cancellations then this BADI needs to be implemented other wise it's not required.

Hi Shankar,

In continuation to my query can we have a self approval option for employees wherein they can nominate themselves for training?

Can we have an option for Prebook, Rebook, Waiting participants, Scorecard , Feedback form in ESS ? ECC?

We have EHP 7. Is  the below mentioned  configurations compatible with EHP 7?

in that case don't include the approval process , so that when ever employee book the training event directly it will update in to the system using that standard workflow's.

And your saying sap system is at EHP7 version. there is new WDABAP based application released in this version in place of bsp application HCM_LEARNING you can use that.

yes, use the standard workflow's.


Prebook, Rebook, Waiting participants

This will be available based on your initial configuration settings in SPRO and business even preparations.


Scorecard , Feedback form

For this you have to design in PD (like PMS template design) and link with business event for evaluation purpose. Check the standard once since, in EHP7 they might have released some standard forms for this. Currently I am not having the EHP7 system.

right now I don't have access to EHP7 system to check it. you can check it in SE80 t-code.

Yes, but this activity will done by Manager of that employee and Training Administrator only.

From MSS -> Team -> Employee Course Assignment -> Manage Mandatory Assignments

Using this application manager can assign the training event to all his subordinates as mandatory training events.

In same way in Training Administrator role can assign the training event to employees as mandatory.

For this in portal you have to deploy the Business Package for Course Administrator 1.51.

Then you will get all Training Administrator applications under Course Administrator role in portal.

yes those all are available in portal also in course administrator role you can see all applications.

just ask your portal consultant to deploy the business package for course administrator as explained above.

Can you help me with the TEM configuration:-

Once the Business Catalogue has been created.

1) What configuration is done for Resources?

2) I understand in Day - to - Day Activity only reason for attendance cancellation is to configured. Correct me if I am wrong?

3) Firmly Booking / Cancellation - Reason for event cancellation to be configured. Correct me if I am wrong?

4) Appraisals - Form of appraisal / Edit Scales / Edit Appraisal scales to be configured. Correct me if I am wrong?

Please also let me know in case I am missing out any node for configuration.

In ESS only one application available for booking the course by employee i.e HCM_LEARNING.

In this application it self all functionalities available for employee to Book the event, Cancel the event, View the booking history, View training events etc.

Currently working on LSO impl.

my client wants a report to track the nomination details like how many employees have nominated for a course and the approval status. where do we get these details? as far as i know nomination doesnt update any table in lso. is this correct? after the approval a025 is created between course and pernr and thus confirms booking. Please throw some light on where do we get the nomination details.

We plan to create a custom table and capture the nominations. is this the right approach?

How to identify the mail alerts in training & event management.is there any standard component is there?

1) my requirement is after booking i am changing the mail body in training & event management.

2) add the remainder alerts to Reporting manager to approve the request..
