What values to be maintained in Residence Period CO_ITEM

Hi,

I am trying to archive CO_ITEM in Retails system. I want to retain 2 years' data i.e. current + previous fiscal year. Want to know what values to be maintained in Residence Period column.

Should it be 730 Days or 24 Periods / Months or anything else.

Please suggest.

Hello Kothekar,

It should be the period number so like you mentioned 24 is for 24 periods.

You can also check the documentation of "F1" help there.

It is like:

Residence Periods

Indicator determining how long data remains in the system before being freed
for archiving. The determining factor is the posting period number in the
individual documents. Special periods belong to the last period of the fiscal
year and do not count.

Example

You enter 6 residence periods. Archiving starts in April 2006. The last
posting period for which you can archive a document is September 2005.

Assuming a fiscal year with 12 months defined as posting periods, the periods
October, November, and December 2005 and January, February, and March 2006
cannot be archived yet as they fall within the six-period residency

One more confusion, consider I have set the Resident Period as 24 Months and now I want to Archive data for Period 01 Fiscal Year 2011. What should be my inputs in Fiscal Year and From / To Period fields?

Hi Amit

Of course you will enter period 1 and FY 2011 what is the confusion in this?

24 Periods what you have defined above is the residence time of documents, means till 24 periods of a document are not over you can not achieve the document.

Hello Kothekar,

Resident Period as 24 Months means the data of latest 24 periods (2 years) are not able to be archived. You can archive the data before that as you want. You can enter the year the period as you would like to.
