Dangerous Goods Management (EHS-DGP)

Purpose

You use the Dangerous Goods Management component to:

· Edit dangerous goods-relevant material data

· Edit dangerous goods master records

· Define dangerous goods checks and run them in sales and distribution processing

· Define dangerous goods documents and output them automatically or manually

· Send dangerous goods data in electronic form for a delivery or a shipment

Integration

To use the Dangerous Goods Management component, you must install the following SAP components:

· Materials Management (MM)

· Sales and Distribution (SD)

· Environment, Health and Safety (EHS)

Features

The Dangerous Goods Management component consists of the following components:

· Basic Data (EHS-DGP-BD)

· Master Data (EHS-DGP-MD)

· Dangerous Goods Checks (EHS-DGP-CHK)

· Dangerous Goods Documents (EHS-DGP-DOC)

· Tools (EHS-DGP-TLS)

· Template and One-Time Material Processing (EHS-DGP-TP)

Constraints

The Dangerous Goods Management component maps the legal regulations for packaged goods only in the system, and not those for bulk goods (bulk/tank).

Accessing Dangerous Goods Management

In the overview tree on the SAP Easy Access screen, choose SAP menu -- Logistics --- Environment, Health and Safety --- Dangerous Goods Management.

The Dangerous Goods Management node is expanded. The menu paths described in this application help are based on navigation in the lower-level nodes

Dangerous Goods Classification Process

Purpose

This process enables you to classify materials according to dangerous goods regulations. See also Dangerous Goods Classification.

Prerequisites

· You have edited all the necessary IMG activities in Customizing for Dangerous Goods Management.

· So that dangerous goods data is available to you in the Product Safety component, you can create the dangerous goods data yourself or transfer it by importing specifications. See also Import and Export.

Process Flow

1. Creating and editing UN-listed substances

· You create a specification of the specification type UN-listed substance (LS_UN_SUB). See also Creating Specifications.

· You define the identification number for the specification by creating an identifier of identification category NUM and of identification type UN, ID, or NA. See also Identification.

· You call the property tree that contains the value assignment type Dangerous goods regulations.

· You call the value assignment type Dangerous goods regulations and assign a dangerous goods class to the UN-listed substance depending on the dangerous goods regulation. You must also specify whether a collective number is used and whether transport is permitted. Then you edit the dangerous goods data, or in other words, the risk classification, packaging code approval, and transport approval. See also Managing Dangerous Goods Data.

2. Creating and editing specifications of the specification type Dangerous goods classification

· You create a specification of the specification type DG_CL_SUB (Dangerous goods classification).

· You define an identifier for the specification, for example, of identification category NAM and enter a descriptive text such as Dangerous goods classification for varnish.

· You call the property tree that contains the value assignment type Dangerous goods classification.

· You call the value assignment type dangerous goods classification and enter the data for the transport classification and for the hazard inducers.

During the filling process, the hazard inducers specified in this value assignment type have a lower priority than those hazard inducers you specify in the Hazard inducer value assignment type for the real substance.

3. Assigning real substances and materials

· You call the specification of the specification type Real substance to which the material you want to classify is assigned. See also Searching Manually for Specifications.

· You check and edit the assignment of materials in material assignment.

You enter the dangerous goods classification as a reference specification in the header data of the real substance. In this way you classify the material that is assigned to the real substance.

If you assign the material directly to the dangerous goods classification, this assignment then has the higher priority.

An environmentally relevant material must be assigned to a real substance that requires a material safety data sheet if automatic material safety data sheet shipping is to be set up.

To enable the transfer of dangerous goods data from the specification database to the dangerous goods master, the assignment of the material to the dangerous goods classification must be unique. Data is not transferred if you assign two dangerous goods classifications to a material via two different real substances.

Result

· You can use the classification data and dangerous goods data for filling the dangerous goods master.

· You can print the data for the value assignment types on reports. To do this, you require a repeating group of the type S:CLASS.

· You can import and export dangerous goods data.

Other Notes

For organizational reasons it may be necessary or desirable to subdivide the total sum of all dangerous goods regulations into smaller groups. For the changed dangerous goods classification process this requires, see also Regulation Families.

Dangerous Goods Checks (EHS-DGP-CHK)

Purpose

You can use this component to check SD documents according to dangerous goods regulations. This component is integrated in the creation process for sales, shipping, and shipment documents.

Dangerous goods checks in sales are supported as of standard release 4.6 in combination with EH&S Release 2.5. If you want to use EH&S Release 2.5 based on the standard release 4.5, you must make a modification for the standard release 4.5. The procedure for this is documented.

Dangerous goods checks facilitate your implementation of dangerous goods regulations and accelerate the creation of SD documents, as dangerous goods checks can be performed automatically or on request when creating and processing SD documents. You make corresponding settings in Customizing to specify which checks are to be performed at which stage and how documents are to be processed further. In this way, the situation is avoided where deliveries or shipments leave your company although they do not comply with the appropriate dangerous goods regulations. If you use dangerous goods checks in sales, you can check whether the dangerous goods material to be sold can be delivered in view of the dangerous goods regulations mapped in the system.

Each dangerous goods check is implemented as a user exit, and you can enhance it as required.

Standard Customizing delivered with the system acts as a sample setting.

Implementation Considerations

To use the dangerous goods checks component, you must install the following SAP components:

Integration

Dangerous goods checks can determine indicators that can be used for the dangerous goods documents component to print texts (dangerous goods specific texts and dangerous goods standard texts) on transport documents or transmit texts using EDI.

In Dangerous Goods Management Customizing, you can make settings as required to specify:

¡ Whether the system is to perform dangerous goods checks

Dangerous goods checks are not activated by default.

¡ The usage context in which a particular dangerous goods check schema is to be used

Depending on the sales organization or transportation planning point, you assign a dangerous goods check schema for each sales and distribution document category and sales and distribution document type or shipment type. You define dangerous goods check schemas by combining dangerous goods check methods to form a schema.

¡ How the document may be processed further

In a dangerous goods check schema, you can set up the reaction to suit your own requirements for each assigned check method.

As each dangerous goods check method is implemented as a user exit, you can program your own function modules along the lines of the dangerous goods check methods (standard function modules) delivered in the standard system and assign them to a dangerous goods check schema in Customizing.

· Different ways of starting dangerous goods checks

If dangerous goods checks are activated, they are started automatically when you save an SD document. Checks can be started in this way when creating and processing SD documents online as well as creating them in collective processing. Also, when creating a sales document in the background using a BAPI for example, or when transferring data for the first time, the dangerous goods checks are started when you save.

After they have been activated, the Dangerous goods check pushbutton appears on the interface for SD documents. You can use this button to start dangerous goods checks as required, to check an intermediate stage in the document, for example.

· Check log

The results of dangerous goods checks (positive and negative) are recorded in a log that you can consult immediately.

Overview of Dangerous Goods Checks in Shipping Documents

Dangerous Goods Documents (EHS-DGP-DOC)

Purpose

You use this component to create transport documents for dangerous goods.

Integration

To use the dangerous goods documents component, you will require the following SAP components:

· Dangerous Goods Master Data (EHS-DGP-MD)

· Product Safety (EHS-SAF)

· Sales and Distribution (SD)

· Materials Management (MM)

Features

Dangerous goods documents within SD sales and distribution processing are output using SAPscript forms and corresponding R/3 print programs. Standard forms and print programs are delivered with the standard system, and you can tailor these forms and programs to fit your own requirements.

You can use phrase management to manage dangerous goods specific texts and standard texts from Dangerous Goods Management.

Template and One-Time Material Processing (EHS-DGP-TP)

Purpose

In a company it is possible that substances exist that need to be shipped once only, for example, substances in research and development that have to undergo a material check by an external body.

For this type of substance it is a disproportionately lengthy procedure to enter all the details from scratch that the system requires for the dangerous goods check and dangerous goods documents: To do this you would have to create a material in the material master, classify the specification for the substance in the dangerous goods basic data, and create the required dangerous goods master records in the dangerous goods master.

Template and one-time material processing gives you the option of using templates that you set up to suit your own individual needs and in which you only need to add the information that varies in each case. You enter the information that is still required when you create or edit the respective documents.

Prerequisites

To use template and one-time material processing, you must have:

· Activated template and one-time material processing in the IMG activity Activate Dangerous Goods Checks

· Created materials in the material master and set them as relevant for template materials or relevant for one-time materials in the dangerous goods indicator profile in the Basic Data 2 view

· Assigned the relevant for template materials or relevant for one-time materials property to the indicator profiles in Customizing for Dangerous Goods Management in the IMG activity Specify Indicator Profiles for the Material Master

· Edited the IMG activities under the Template and One-Time Material Processing node in Customizing for Dangerous Goods Management

Tools (EHS-DGP-TLS)

Purpose

The dangerous goods management tools (dangerous goods interfaces) enable you to:

· Use filling to copy data from the SAP component Product Safety to the dangerous goods master

· Use distribution (ALE) to distribute data from the dangerous goods master of an SAP system to the dangerous goods masters of other SAP systems

These interfaces support you when filling the first database as well as when transferring data within a productive system.

Dangerous Goods Structure Reform

The restructuring of the dangerous goods regulations ADR, ADNR, and RID was undertaken with the objective of making the regulations more logical and user-friendly and harmonizing them with the UN recommendations. Following the restructuring, it has not been necessary to modify the data model of the EH&S Dangerous Goods Management component. The effects of the restructuring are limited to the following points:

Replacement of marginal by Chapter

The dividing up of the above-mentioned regulations into sections using numbers in the margin beside the text has been relinquished in favor of a traditional division into chapters. For example, the information contained in the ADR under marginal 10011 is now to be found under Chapter 1.1.3.6 following the structure reform.

Every occurrence of the term marginal or corresponding abbreviations in Dangerous Goods Management is being renamed as Chapter.

Discontinued use of hazard item number; replacement of dangerous goods letter by classification code

In the restructured ADR, Chapter 3.2 contains Table A in which all dangerous goods are listed in order of their UN number. In Table A, the classification by means of dangerous goods letter and hazard item number previously used has been abolished and replaced by the use of the classification code.

Example: UN 2760, Arsenical pesticide, liquid, flammable, toxic

Old ADR: Item number 41, letter b, packing group II

New ADR: Classification code FT2, packing group II

Every occurrence of the term dangerous goods letter or corresponding abbreviations in Dangerous Goods Management is being renamed as classification code. The classification code also takes on the role of the dangerous goods letter in combined risk potentials.

The fields SDBC (hazard item number) and SLBE (hazard item number empty transport) have been retained for the immediate future and are ready for input. If, during filling, the system detects that a data record exists in accordance with the new regulation structure, the SDBC and SLBE fields are deleted and removed from the interface. However, they still remain in the tables so that they can react to any future changes to the regulations if and where necessary.

The modifications to the interface, field descriptions, message texts, data elements, and IMG activities necessary as a result of the structure reform will be made in your system when you import Support Package 01 for EH&S Release 2.7B.
