Series Restriction to view

Hi Everybody,

Different users are assigned to different doc.series.

Now I want to restrict the users in viewing marketing documents created in other series.

Is it possible

Please help.

Hi Suresh,

Yes, this is possible.

You do this by assigning different series authorisations for users.

From the main menu go to:

Administration -> System Initialisation -> Authorisations -> General Authorisations:

In the Authorisations window go to:

Administration -> System Initialisation -> Numbering Series -> Here you have different groups that can be assigned to Document Numberings Series. This way you can block one user from adding and seeing a numbering series.

The authorisation that is given here relates to the field in:

Administration -> System Initialisation -> Document Numbering -> Open a series: Field - 'Group'.

So, give Document Numbering Series A Group 1. Give User X access to Series - Group No. 1

Document Numbering Series B Group 2. Give User Y access to Series - Group No. 2. etc etc.

I think this is the functionality you are looking for.

I know the settings you mentioned.But my issue is even if some users has no authorisation they can see the documents in other series.how to restrict this.

Hi Suresh,

I don't know which version you are using, but in 2005A SP01 and 2007 they cannot see the documents that are not in the series where they have authorisation. When opening the document they will be given an error message that they do not have authorisation.
