Difference between off cycle payroll run and additional off cycle payroll run? are the tables updated in both the cases after payroll run?

Hi All,

I am confused in "off cycle payroll run" , "additional off cycle payroll run" etc. Can any one please take time to brief me out about the same or share any document.

Hi Kumar ,

Off-cycle payroll runs are used to make payments outside the regular payroll run like one time bonuses. The Payroll Control Record needs to be in the Exit Payroll stage, and the off cycle run  MUST be executed after the pay date of the regular payroll run.

Say for example -  if the current payroll period is from 01.07.2010 and 31.07.2010, and the pay date is 20.07.2010, then you can execute off-cycle payroll runs between 21.07.2010 and the date you release the Payroll Control Record for the next payroll run.

There are 3 main types of off-cycle payroll run in SAP:

1) Off-Cycle Bonus Payment (Type A):  Considered to be one-off bonus payment, it can also be used to reimburse employees for expense claims.  Data is entered via infotype 0267 (Additional Off-Cycle Payments).  When executing a “Start Payroll”, you need to enter the “Reason for Payroll” field according to the desired calculation type.

2) Off-Cycle Correction Accounting (Type B): Considered to be adjustment runs, it is used for late overtime or anything that did not make it into the regular payroll run.  Data is entered just like a regular payroll run (i.e., IT2001, IT2010, IT0014, IT0015). When executing a “Start Payroll”, you need to enter the “Reason for Payroll” field with the corresponding reason type.

3) Off-Cycle Christmas Bonus Payment or SAC (Type S):  Christmas Bonus (SAC) can be paid with the regular payments run (June and December) or on a special Payroll run before the regular one. Data is calculated automatically by the system, based on the payment date and the configuration in tables T511K and V_T7AR75.

Go to Transaction PA30

Enter a Pernr , Select Infotype 264

Enter -- Wage Type and Amount

Payment Date for the Offcycle Run -(the day offcycle payment will credited in employees bank account)

Offcycle Reason  and Click Save

Run Off Cycle Payroll by using PUOC_10 (10 is CG )

In Payroll Accounting program ,Enter  Payroll Area, Pernr ,Offcyle Reason,Offcycle Type and Date and Payroll Schema

Click Execute and Check the results

Once you have executed an off-cycle payroll run, you also need to:

Execute an off-cycle bank transfer.

Post off-cycle results to GL

The process is similar to that of regular payroll run in SAP

Hello Kumar,

In addition to the above there are two other off-cycles.

1) Payroll type C - Non authorized manual check - IT 0221 - to adjust the payroll results.

2) On demand payroll - Its like running regular payroll run in off-cycle.

Ex: Its the Month March, EE going on a vacation and he asked to pay his salary in advance. The control record status is in exit payroll. We can run on demand payroll run from off cycle work bench (PUOC_10) and can pay the EE March month salary in advance.

Hi Anil,

Off Cycle payroll run will be run to make Additional Off cycle payments through IT0267.

by maintaining IT0267 and the type of payment which will be made once or irregularly will be maintained here.

By running the  Off cycle workbench (PUOC_XX),where XX is the country group,  the off cycle payments will be made.

It requires the following to run:

  • Off-Cycle Reason
  • Payroll Type
  • Payroll identifier
  • Payment date of the off-cycle payroll

You can also run multiple off cycle runs on same day for one employee by maintain different payroll identifiers to distinguish between two off cycle payroll runs.

You may also execute off cycle work bench for one or more employees.
